Process Hours 

Before hours can be exported, they must be processed by the system. This processing ensures that the hours are grouped and totaled together in the format the application's payroll module or system needs. It also assigns the company's payroll module or system payroll (i.e., earnings) codes to the hours in the format required by the payroll solution. In rare cases, the processing may do some additional calculations such as calculating weighted average overtime rates. 





 


Once the Time records are processed, they are ready for the payroll solution. 

  1. If the payroll solution is part of the same suite as the Time solution, then the records are synchronized from within the Payroll Prep checklist. 
  2. If the payroll solution is a separate provider from the Time solution, then the creation of an export file is required. 

 


Create an Export File

When sending the processed timesheet hours to a separate payroll provider, the experience differs depending on whether the hours are sent to the application's payroll module or an external payroll module.  


If using an external payroll application, then the Create Payroll Interface File step is used. This step exports the processed timesheet hours out of the application in a file format that can be imported into the external payroll application. During implementation, the file format settings are configured to match the payroll system’s import requirements. The export file created from this step allows you to create and save the processed hours in your export file format. 


Sync Time


When sending Time records to the Payroll solution, no action is needed in the Time Prep Checklist to send hours to payroll. Instead, the Payroll Prep Checklist has a Sync Time step. The Sync Time step acts as the export and import steps to transfer the processed timesheet hours to the payroll module for payroll processing.
