Employee Profile



Let us begin by examining the employee profile to see where HR information is stored and what may be edited within the record.


The Employee Information page for managers. 


 


The employees that a Manager or Administrator has permission to view are listed on the Employee Information page. For example, managers are only able to access the records for employees that report to them or for the employees they have security access to view. 

 

To view a specific employee and access their profile, select the Employee Information icon. 






The Jump To section of each tab contains quick links to various widgets in the employee profile


The employee profile for an individual is made up of tabs, windows, and fields within windows. The Main, Payroll, and HR tabs are populated by default. Each tab is comprised of windows.  

To access a particular window within a tab, select the widget name in the Jump To section of the screen.




 


Let us look at the HR information that is normally located on each tab within the employee profile and some of the items that can be updated.  




 


Main

The Main tab typically includes a variety of windows with basic employee information that HR administrators need to access. Below are some of those windows.   

  1. The personal information window has the employee’s employee ID, social security number, home address, and phone numbers. 
  2. The profiles window contains the profiles associated with an employee. These control items such as which benefits are available to an employee and when their performance reviews occur. This window is found on the right-hand side and is a pop out window.  
  3. The pay information window houses the employee job, pay grade, employee type and pay type.  
Payroll

Generally, the earnings, deductions, tax information, and direct deposits windows are on the Payroll tab. This is part of the Payroll solution.  


HR 

The HR Tab tracks many HR items such as Benefits, Learning Features, Incidents, and Inventory items. For example:  

  1. On the benefit plans window, you view the employee’s current and historical benefits.  
  2. The education window stores the highest level of education and different schools. 
  3. Additional tracking windows include assets assignments such as vehicles or computers. 
  4. The disabilities window tracks costs and accommodations. 



 


 Most fields in the employee profile are easily changed by accessing the field, keying in the change, and then saving the record.  


Screens are altered to view information that may be important to your company by editing tabs in the employee profile. Keep in mind your employee profile screen may have more or fewer windows than discussed in this overview.
