Work Schedule Profiles

Modified on Thu, 4 May, 2023 at 3:42 PM

Recall that Work Schedule Profiles are patterned schedules assigned to employees. There are several steps you must take before these schedules appear on an employee's timesheet.

  1. Create Daily Rules
  2. Create a Work Schedule Profile using Daily Rules
  3. Assign the Work Schedule Profile to employees
  4. Generate schedules

Let'stalk about each step in the sections below.

Create Daily Rules

Daily rules are schedule rules that include preset information. These rules can quickly be applied directly onto an employee's schedule or, more commonly, to build out a Work Schedule Profile.

Details configured in a daily rule include the rule's name and description, the Schedule Type, the start and end time, and other parameters such as lunch settings and whether the rule is associated with a specific cost center.

Create a Work Schedule Profile

While the primary purpose of the Work Schedule Profile is to automatically assign Daily Rules set in a specific pattern, the Work Schedule Profile establishes other important rules, too. These rules include how many days are in the schedule cycle and what day the initial cycle started (impacting the cycle start date for all future schedules).

Add Daily Rules to Work Schedule Profile

Most of the Work Schedule Profile screen is dedicated to organizing Daily Rules into the desired pattern. The number of days available on the pattern is determined by the cycle length. Daily Rules can be selected from pre-configured rules, or you may be able to create a custom rule if your company allows "On The Fly Schedules."

Assign Work Schedule Profiles to Employees

Like all profiles, Work Schedule Profiles are assigned on the employee record in the Profiles widget.

Generate Schedules

When Work Schedule Profiles are assigned to a new employee or changed on an employee's record, you must generate schedules for the new schedule to take effect.

Navigation: Team > Schedule > Basic Scheduling > Generate Schedules

  1. Select the desired employee(s).
  2. Select Generate Schedules.
  3. Enter a From Date (if necessary) and To Date.
  4. Choose a Work Schedule (system defaults to Work Schedule Profile assigned to employee if left blank).
  5. Check Override existing schedule entries if you want the new schedule to replace any current schedules assigned to the employee(s).
  6. Select Generate.
