Generate an Offer Letter

The generation of an offer letter is tied to a job application. Offer Letters may be created for either internal or external applicants. If you use an offer letter template, edits are made to the content if needed prior to generating the letter.

Offer Letters Page  

The Offer Letters page allows the recruiter or manager to create a new offer letter to send to an applicant. This page also stores previously created and sent offer letters. 




From the Offer Letter page, select Add New to create a letter to send to the selected applicant. There are two sections to configure: 

  1. Offer Details
  2. Content 

Click on the + next to each field for more information.  



 

Offer Details Widget 


  1. Applicant Type – Select the type of applicant. Choices include external or internal. 
  2. Applicant – Select which applicant is to receive the offer letter.   
  3. Job Application -Choose which application the individual is being hired for. Once selected, this populates the job requisition and default job fields. 
  4. Rate Enter the rate the applicant will be paid if hired. Also select Per. This field pulls into the offer letter if an offer letter tag exists.
  5. Start Date – Enter the start date for the applicant. This field pulls into the offer letter if an offer letter tag exists.

 

 

Content Widget 


  1. Offer Letter Template – If using a template, select the offer letter template. Once selected, this populates the content. 
  2. Offer Letter Content – Enter the offer letter content. This is the email or information to send to the applicant. It is customizable or will populate from the template chosen. 
  3. Tags Select Add Tags to personalize and auto populate the content. This pulls from the job requisition or applicant profile details. Tags may also be set in the template. 

After configuring the offer letter, select Save. This saves the drafted offer letter. Once saved, options become available to: 

  1. Add documents.
  2. Add notes. 
  3. Preview the letter using the applicant information and system information. 
  4. Submit the offer letter for either generation or for approval through a workflow (if this functionality is activated for your company). 
An offer letter may also be generated from the specific job requisition workspace. Navigate to Menu > Team > Recruitment > Job Requisitions. Access the applicant's application and a Quick Action appears to Add Offer.

For an applicant to view and accept or decline the offer letter, it must be submitted. After submission (and approval if applicable), the offer letter is assigned or emailed to the applicant.
