Attestation Profiles and Workflows

The two core components of Attestation configuration are Attestation Workflows and Attestation Profiles. 


Attestation Workflows consist of question steps and notification steps. These steps define what questions are asked, what responses are required, and whether notifications are sent to management based on responses. 


Attestation Profiles define the Attestation Prompt type, or Prompt Setting, such as End of Shift of Submit Timesheet. Corresponding Attestation Workflows are designated within each Attestation Profile Prompt Setting along with any additional required settings, such as timeframes or filters. 


Attestation Workflows 

There is one type of Attestation Workflow that can be created and then added to an Attestation Profile: An Attestation Questionnaire. 


This Workflow can be tied to certain prompt conditions in the Attestation Profile, such as at the beginning or end of an employee’s shift or when an employee submits their timesheet for approval. 


Within the Workflow, there are two steps to choose from: a Question Step and a Generate Notification Step. 


Question Step

The Question Step prompts employees to answer questions about the accuracy of their timesheets, meals and breaks, or other topics. 


Each question step consists of a name and description, the question or prompt to be displayed, additional configuration such as Reason Codes or Notes, labels for the response options, and the actions to be completed depending on the response. 


Name questions carefully and clearly so that they may easily be referenced in reports. 


 


 





 


 


Some of these questions include: 

  1. “Did you take your meal break today?” 
  2. “Were you injured on the job?” 
  3. “Did you report your injury?”
  4. “Do you have a fever today?” 
  5. “Is your timecard accurate?” 

These questions display as a pop-up or can be completed in the My To Do items section at a later time. 


Generate Notification Step 
The Generate Notification Step notifies managers of certain employee responses. It can also be used to notify employees when an Attestation My To Do Item exists and requires their attention.

Attestation Profiles 

Attestation Profiles designate the prompt type, or Prompt Setting. There are five common Prompt Settings: 

  1. End of Shift 
  2. Submit Timesheet 
  3. Custom Punch 
  4. Punch In 
  5. Punch Out 

Each Prompt Setting may include additional settings to meet specific requirements.

  1. End of Shift: Employees with a schedule trigger the workflow when they clock out within the defined windows of time. 

    This Attestation Profile Prompt Setting only works if an employee has an assigned schedule. 

  1. Submit Timesheet: Employees trigger the workflow when they submit their timesheet for approval.
  2. Custom Punch: This workflow triggers when employees use a separate button at any time of day outside of the normal punch in and punch out buttons. 

    This Prompt Setting takes precedence over the Punch In and Punch Out settings. However, this may be overridden with the “Override Custom Punch” checkboxes within the Punch In and Punch Out settings. 

  1. Punch In: If multiple conditions are added, then the Punch In setting can have multiple workflows assigned. 
  2. Punch Out: If multiple conditions are added, then the Punch Out setting can have multiple workflows assigned. 


 


 


Assigning the Attestation Profile 

Configured Attestation Profiles must be assigned to employees. This can be done in several ways: 

  1. Assign to individual employees via Employee Profile 
  2. Assign to multiple employees via Mass Edit 
  3. Assign as default for newly hired employees via Company Setup 
  4. Assign to multiple employees via an import file
