Assets
Asset Management controls inventory of company items and includes Asset Types, Asset Property, and Asset Assignments.
The Assets feature enables the tracking of company property including computers, office keys, or phones. Assets are associated to employee records for tracking purposes.
Configure Asset Types
Asset Types group types of property together for tracking. The system provides a predefined list of Asset Types, other company specific item types may be added. Configuring an Asset Type is the fundamental first piece of Asset Management.
Navigation: Menu > Admin > HR Setup > Assets (Property) > Asset Types
- From the Asset Types page, select Add New.
- At the Type field, enter a name for the Asset Type.
- (Optional) Select the Allow Multi Assets box to assign the same asset multiple times, for example 3 monitor screens.
- (Optional) Select the Allow Child Assets box to establish a Parent-Child relationship between asset properties. Assigning a parent asset to an employee automatically assigns the child asset.
Select each Collect box to collect that type of information for the Asset Type.
Note: Use the five available custom fields to track company specific information for this Asset Type.- (Optional) Select the Required box next to any collected field if this information must be completed for any property assigned this Asset Type.
- Select Save.
Configure Asset Propert
Once an Asset Type is created, the Asset Property area is where specific assets are inventoried. Create an inventory of an asset in the system before assigning it to an employee.
Navigation: Menu > Admin > HR Setup > Assets (Property) > Assets (Property)
- From the Assets (Property) page, select Add New.
- At the Asset Type drop-down list, select the type of asset and select Add.
- At the Tag Id field, enter an asset identifier, or serial number.
- (Optional) Enter other information in the Asset widget as appropriate.
- In the Properties widget, enter any applicable Required Asset Type fields.
- (Optional) In the Properties widget, enter other information in applicable Asset Type fields.
- Select Save.
Assign Asset Property
Assigned Asset Property appears in the employee record. The employee record may be accessed at any time to update information, process an asset return, or mark the asset as lost or destroyed.
Navigation: Menu > Admin > HR Setup > Assets (Property) > Assets (Property)
- From the Assets (Property) page, select the View Asset icon next to the property item to assign.
- Select Assign to Employee. The New Asset Assignment window appears.
- At the Employee field, select the drop-down list and select an employee.
- Select Assign. The Asset Assignment page appears.
- (Optional) Enter any other applicable information such as Notes or Supporting Documents for the employee.
Select Save.
Note: Managers may also assign Assets to employee records from the Team tab. There are two areas for assignment: Menu > Team > HR > HR Maintenance > Assets Assignments and Menu > Team > My Team > Employee Information> HR Tab > Assigned Assets (Property).
